Techniques for conducting Plan the meeting Prepare an agenda Arranged in logical order Available for everyone Best agendas have timelines of the subjects that need to be discussed If you're having a meeting at a time that people expect food, HAVE FOOD Or state that food will be available at your own expense Follow the plan Follow agenda item by item Keep the discussion on track If new topics are brought up, postpone until end of meeting or a future meeting Start and end on time Move the Discussion along As the leader, control the agenda When the discussion moves of topic, bring the focus back Allow for appropriate discussion to take place Parliamenture procedure Vote on the problem (call the question) Table discussion (continue at the next meeting) Control and encourage participation of members Those who talk too much Few people tend to dominate the discussion Those who talk too little Ask them questions and encourage them to participate Control time and summarize at appropriate places To keep meeting short Meet at 4pm Friday (everyone wants to go home) Meet standing up (room with no chairs)
Take minutes Minutes: the recordings of meeting events Format will depend on the nature of the meeting, group preferences, company requirements Minutes included: dates, time, location, who attended Send to everyone as soon as possible after meeting Corrections can be requested at next meeting
